Privacy Policy

Effective date: October 21, 2026

Folio Interiors (“Folio Interiors”, “we”, “us” or “our”) respects your privacy. This Privacy Policy explains what personal information we collect through foliointeriors.com (the “Website”) and in the course of our business, how we use and share it, how long we keep it, and the choices and rights you have. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).

By using the Website or submitting your information to us, you agree to the practices described in this policy. If you do not agree, please do not use the Website or provide us with personal information.

1. Who We Are and How to Contact Us

2. Information We Collect

Information you give us

  • Consultation and contact forms: your full name, email address, phone number, the service you are interested in, and any details you include in the description, such as your building name or address, your role (for example board member or property manager) and information about your project.
  • Emails, phone calls and meetings: the information you share when you contact us directly, including project details, photos, drawings or documents you send us.
  • Project and client information: if we prepare a proposal or carry out work for you, we collect business contact details for board members, property managers and building staff, along with site access information, schedules, billing details and the records needed to deliver and invoice the project.
  • Marketing preferences: if you sign up for our emails or newsletter, your name, email address and your consent record.

Information collected automatically

  • Usage and device information: when you visit the Website, we and our service providers automatically collect information such as your IP address, browser type, device type, operating system, referring website, pages viewed, time spent on pages and approximate location (city or region) derived from your IP address.
  • Cookies and similar technologies: see Section 6 below.
  • Server and security logs: our hosting provider keeps technical logs, including IP addresses and request information, to operate, secure and troubleshoot the Website.

Information about residents and other individuals

Our work takes place in occupied condominium buildings. We may receive limited information about residents, such as names or suite numbers on notices, access arrangements or move-in schedules, from property management. We use this only to plan and carry out the work safely and with minimal disruption.

We do not knowingly collect sensitive personal information, such as health or financial account information, through the Website. Please do not include it in forms or messages.

3. How We Use Your Information

We use personal information only for purposes that a reasonable person would consider appropriate in the circumstances, including to:

  • respond to your enquiries, arrange site reviews and provide consultations, proposals and pricing;
  • plan, deliver, manage and invoice projects, and communicate with boards, property managers, building staff and residents about the work;
  • provide customer service and follow up after a project;
  • send you marketing emails or newsletters, where you have given consent (see Section 5);
  • understand how visitors use the Website and improve its content, design and performance;
  • protect the Website, our business and our clients from fraud, spam and security threats;
  • keep business records and comply with our legal, tax, accounting and regulatory obligations.

We will not use your personal information for a new purpose without first telling you and, where required, obtaining your consent.

4. Consent

We collect, use and disclose personal information with your consent, except where the law permits or requires otherwise. Your consent may be express, for example when you tick the consent box on our consultation form, or implied, for example when you email us a question and we reply. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting our Privacy Officer. Withdrawing consent may limit our ability to respond to you or provide our services.

5. Marketing Emails and CASL

We send commercial electronic messages, such as newsletters, project updates and service information, only where we have your express consent or where consent is implied under CASL, for example because of an existing business relationship or a recent enquiry. Every marketing email we send identifies Folio Interiors, includes our contact information and includes a working unsubscribe link. We process unsubscribe requests within 10 business days. You can also unsubscribe at any time by emailing refurb@foliointeriors.com. Unsubscribing from marketing emails does not stop messages we need to send you about an active proposal or project.

6. Cookies, Analytics and Similar Technologies

Cookies are small text files stored on your device. We use them, and similar technologies, to make the Website work, remember your preferences and understand how the Website is used. When you first visit, a banner tells you that the Website uses cookies.

  • Essential cookies: needed for the Website to function and stay secure, for example to remember your cookie banner choice, to protect our forms from spam and to keep the Website fast through caching.
  • Analytics cookies: we use Google Analytics, connected through Google Site Kit, to measure traffic and see which pages are useful. Google Analytics collects information such as pages visited, time on site, device and browser information and approximate location. We use this information in aggregate and do not use it to identify you personally. You can learn how Google uses this data at policies.google.com/technologies/partner-sites and opt out with the Google Analytics opt-out browser add-on.
  • Third-party content: the Website loads fonts from Google Fonts. When your browser requests these files, Google receives your IP address and basic browser information.

Most browsers let you block or delete cookies through their settings. If you block cookies, some parts of the Website may not work as intended. We do not currently respond to “Do Not Track” browser signals, because there is no common industry standard for them.

7. How We Share Your Information

We do not sell, rent or trade your personal information. We share it only as described below:

  • Service providers: trusted companies that help us run our business and the Website, including our website host (Hostinger), Google (Google Workspace for email and files, and Google Analytics), our customer relationship management (CRM) software, our email marketing platform, and the email delivery service our Website uses to send form notifications. These providers may use your information only to provide services to us and must protect it.
  • Project partners: subcontractors, trades, suppliers and consultants who need specific information, such as site contacts, access arrangements and schedules, to carry out work on your project.
  • Your building’s representatives: when you contact us on behalf of a condominium corporation, we may share relevant project communications with the board and property management of that corporation.
  • Professional advisors: our lawyers, accountants and insurers, where needed.
  • Legal requirements: where required or permitted by law, such as in response to a court order or to protect the rights, property or safety of Folio Interiors, our clients or others.
  • Business transfers: if our business is sold, merged or reorganized, personal information may be transferred to the new owner, who will be bound to protect it in line with this policy.

8. Where Your Information Is Stored

Some of our service providers store or process information outside Canada, including in the United States. While stored outside Canada, your information may be accessible to courts, law enforcement and national security authorities of that country under its laws. We take reasonable contractual and other measures to ensure that service providers protect your information to a standard comparable to the protection it would receive in Canada.

9. How Long We Keep Your Information

  • Enquiries that do not lead to a project: generally kept for up to 2 years after our last contact, so we can follow up on your request.
  • Client and project records: kept for as long as needed to provide the services and for at least 7 years after the project ends, to meet tax, accounting, warranty and legal requirements.
  • Marketing lists: kept until you unsubscribe, after which we keep only the minimum record needed to respect your choice.
  • Analytics data: kept in Google Analytics according to the retention period set in our account.

When information is no longer needed, we securely delete, destroy or anonymize it.

10. How We Protect Your Information

We use reasonable physical, organizational and technical safeguards appropriate to the sensitivity of the information. These include encrypted (HTTPS) connections to the Website, password-protected and access-controlled accounts, limiting access to staff and partners who need it, and choosing service providers with strong security practices. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach of security safeguards creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by law.

11. Your Rights and Choices

Subject to the exceptions in the law, you have the right to:

  • ask whether we hold personal information about you and request access to it;
  • ask us to correct information that is inaccurate or incomplete;
  • withdraw your consent to our use of your information, including for marketing;
  • ask us to delete information we no longer need to keep;
  • ask questions or make a complaint about how we handle your information.

To make a request, email refurb@foliointeriors.com. We may need to verify your identity before responding. We will respond within 30 days, or tell you if we need more time as the law allows. If we cannot provide access to some information, we will explain why, unless the law prohibits us from doing so.

12. Project Photography

We photograph our completed work, such as corridors, lobbies and amenity spaces, and may publish these photos on the Website, in our portfolio and on social media. We take care to photograph common areas only and to avoid capturing people, suite interiors, suite numbers linked to residents, or other personal information. If you believe a photo on our Website shows you or your personal information, contact us and we will review it and remove or edit it where appropriate.

13. Third-Party Websites and Social Media

The Website links to other websites and to our social media pages on LinkedIn, Facebook and Instagram. We are not responsible for the privacy practices of those sites. When you interact with us on social media, the platform’s own privacy policy applies to the information you share there.

14. Children’s Privacy

The Website and our services are intended for adults, condominium boards and businesses. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

15. Visitors Outside Canada

We are based in Canada and the Website is intended for people in Canada. If you access it from another country, your information will be handled in Canada and by our service providers as described in this policy.

16. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology or the law. The updated version will be posted on this page with a new effective date. If we make significant changes, we will take reasonable steps to let you know.
